OVERVIEW

The University of St. Thomas invites qualified candidates to apply for a Graduate Recruitment Coordinator (Coordinator III) position within Enrollment Services.

 

This role is primarily performed on the St. Paul campus, with some opportunity for remote work when schedules and operational needs permit.

Salary Range: $20.95 to $26.15

 

The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

 

JOB SUMMARY

The Lead Coordinator for Graduate Admissions (Coordinator III) is responsible for cultivating early-stage relationships with prospective graduate students and ensuring timely, personalized communication to two key lead groups:

  1. Enrollment Prospects – individuals who have not yet engaged (e.g., purchased lists, event rosters, name buys).
  2. Inquiries – individuals who have taken an action to express interest (RFI, event attendance, calling, emailing, web chat, etc.).

This role focuses specifically on lead nurturing prior to the application stage. Once a student begins an application or indicates readiness to apply, the Lead Coordinator facilitates a seamless handoff to the appropriate Graduate Recruiter or the Assistant Director for deeper, program-specific engagement.

 

Reporting to the Assistant Director of Recruiting & Admissions, the Lead Coordinator manages communication strategies, acts as a resource for student workers executing call/text/email campaigns, and helps ensure the University’s communications reflect current trends in graduate enrollment behavior.

 

ESSENTIAL FUNCTIONS

1.  Lead Nurturing for Prospects & Inquiries

  • Serve as the primary first point of contact for early-stage prospective students.
  • Deliver personalized, timely, and accurate information to prospects and inquiries to encourage engagement and funnel progression.
  • Respond to emails, calls, and forms with a student-centered approach and clear next steps.
  • Identify inquiries who are “application-ready” and route them to recruiters promptly.
  • Serves as main point of contact for in person meetings and “drop-in” visitors at the Admissions office.
     

2.  Lead Engagement Strategy & Outreach Coordination

  • Work with the Assistant Director to develop and maintain strategies for call, text, and email outreach for both prospects and inquiries.
  • Create and update call scripts, email templates, and messaging guidelines used by student workers and staff.
  • Develop and host events both in person and virtually to attract and nurture leads for UST programs.
  • Serve as the point of contact for student workers when they have questions about outreach content, messaging, or workflows (without formal supervisory responsibilities).
  • Monitor lead behaviors, funnel movement, and communication engagement to refine outreach strategies.

 

3.  CRM & Marketing Technology Tracking, Reporting, and Analysis

  • Use Salesforce, Marketing Cloud, and other systems to track and document all lead communication and engagement.
  • Pull and prepare regular reports on lead volume, lead source, engagement trends, and outreach effectiveness.
  • Monitor lead source performance to help inform marketing investment and outreach strategy.
  • Assist in tracking funnel movement for prospects and inquiries, highlighting areas where nurturing can be improved.
  • Identify data inconsistencies or workflow issues and recommend solutions or escalations.

QUALIFICATIONS

Minimum Qualifications

  • High School diploma or the equivalent
  • Four years of administrative support experience

Preferred Qualifications

  • Bachelor’s degree

  • Experience in admissions, higher education, or enrollment marketing

  • Experience with Salesforce, Marketing Cloud, or similar platforms

  • Experience creating messaging guides or communication playbooks
