OVERVIEW

The University of St. Thomas invites qualified candidates to apply for a Coordinator II position within the Interprofessional Center for Counseleing & Legal Services (IPC). 

 

This position has a Full-Time Equivalency (FTE) of 0.625 or 25 hours per week. This is a temporary, grant-funded position through June 2026. There may be the option for continued employment dependent on business needs of the department and continued funding.

Hourly Pay Range: $20.00 to $25.00/hr

 

The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

 

JOB SUMMARY

The part-time position is responsible for providing administrative support to the Counseling Services of the Interprofessional Center for Counseling and Legal Services (IPC). Key responsibilities of the position include providing administrative support to create a positive experience for IPC counseling students and clients, fostering communication and coordination among IPC co-directors, graduate assistants, and University collaborators. 

 

This position requires a collaborative work style paired with the ability to work independently, proactive communication skills, strong follow-through on tasks, and the capacity to quickly identify challenges and adapt to emerging opportunities. A passion for the Morrison Family College of Health (MFCOH) vision and mission is essential. The role involves maintaining excellent working relationships with IPC and MFCOH faculty and staff, IPC graduate assistants, and community partners. The position will report to the Director of Psychological Services at the IPC and collaborate closely with the IPC co-directors, as well as MFCOH colleagues on time-limited projects.

 

ESSENTIAL FUNCTIONS

  • Provide general office support to support grant implementation and IPC functions, with responsibility for working independently on project as assigned, prioritizing workflow, and creating systems feedback to ensure inquiries are responded to in a timely manner, and.
  • Manage scheduling of meetings with community partners and external stakeholders. Reserve rooms for client appointments the IPC. Manage confidential client information in the IPC database.
  • Along with law coordinators, coordinate logistics, including food, agendas, presentations, and registration for IPC events including Interprofessional joint sessions.
  • Provide support to graduate student interns by providing orientation to IPC practices and giving direction on project tasks.
  • Coordinate logistics for orientation of new students as well as onboarding of new students.
  • Order supplies and materials purchased under the grant and through the IPC, process invoices and payments within the budgeted guidelines and at the direction of the IPC co-directors.
  • Respond to incoming calls to the IPC, welcome clients arriving at the center, assist in conducting client satisfaction surveys, and provide tours to prospective referral sources, students, visiting faculty, and interested community members.
  • Coordinate with administrative support staff across MFCOH to support collegewide events and other activities for students and external audiences
  • Other duties as required.

QUALIFICATIONS

Minimum Qualifications

  • High school diploma or the equivalent
  • Three years of administrative support, project coordination, and/or project management experience, and comfort using Microsoft Office 365

Preferred Qualifications

  • A Bachelor’s degree
  • Prior experience working in a health, mental health or human services setting
  • An aptitude to quickly learn new software programs and applications
