OVERVIEW

The University of St. Thomas invites qualified candidates to apply for an Accounts Payable Coordinator position.

 

This is a part-time position with an expected workload of 20 hours per week (0.5 FTE). Currently, the role is funded through the end of the 2025-2026 academic year. Continuation of the position is contingent upon available funding and evolving business needs. This position is not eligible for benefits.

Pay Range: $20.00 to $26.00/hr

 

The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

 

JOB SUMMARY

Responsibilities include assessing and processing financial documents as per university, GAAP, and governmental policies. Requiring judgment and initiative.

 

ESSENTIAL FUNCTIONS

Accounts Payable Functions

  • Process a high volume of payments, i.e. invoices, employee expense reports, student reimbursements, check requests, wires, prepaid expense requests, uploads, and cash advances in an accurate and timely manner.
  • Analyze documentation for completeness, accuracy, and policy requirements.
  • Identification and resolution of invoice and check problems and resolution.
  • Understand, communicate, and apply university policies and procedures and governmental regulations.
  • Weekly check run and demand check processing, along with stop payments and reissues.
  • Assist with corporate credit card processing and analysis.

Project execution:

  • Yearly escheatment process
  • Year-end invoice and payment reviews
  • 1099 reporting review, analysis and maintenance
  • Departmental documentation development and updates
  • Document scanning and storage for future audits 
  • Identify, track, and resolve issues or missing information
  • Additional duties as assigned

Customer Service:  

  • Issue Resolution – resolve payment issues with departments as per policy and governmental guidelines
  • Review department backup – ability to quickly identify appropriate business reasons, receipts, and backup information to make decisions on payment processing.
  • Answer verbal and written faculty, staff, student, and vendor questions and requests, both timely and professionally.

Backup for additional duties and projects as assigned

QUALIFICATIONS

Minimum Qualifications

  • High school diploma or the equivalent
  • Two years of administrative support experience in a financial/accounting environment

Preferred Qualifications

  • 1-3 years of accounts payable experience
