Salary Range: $48,000 to $70,000

 

The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

 

JOB SUMMARY

The Director of Athletic Events and Operations will be responsible for organizing and coordinating logistics of varsity athletics, championships, and special events.  This position will require strong organization and communication skills with the ability to proactively plan for multiple events simultaneously.  The Director will manage hiring, training and daily operations of full and part-time staff to organize, plan, communicate, problem-solve and coordinate all aspects of home events and operations.  This position will work collaboratively across many campus and off campus units including but not limited to; police and public safety, parking, auxiliary services, marketing, ticketing and service, facilities and operations, and equipment services to ensure successful completion of events.  This position reports directly to the Deputy Athletic Director for Internal Operations.

 

Candidates must be able and willing to work flexible schedules including nights, weekends, and holidays when necessary.

 

ESSENTIAL FUNCTIONS

 

Scheduling and Daily Operations
Establish and maintain a home event scheduling policy and process for varsity events, championships, and special events. Work collaboratively with head coaches, directors of operations, athletic administration, and campus stakeholders to coordinate all aspects related to varsity athletic events including pre-event planning meetings, and post event breakdown, parking and after-action meetings.

 

Education, Service, and Training
Create, communicate, and lead meetings with campus stakeholders and off campus leaders to facilitate successful event executions while providing outstanding customer service.  Generate and lead customer service training programs for varsity athletic event personnel and part-time staff.  Hire game operations staff in support of successful home events including but not limited to PA announcers, chain gang, table crew, parking attendants, third party security and more.  Develop and provide ongoing training for customer service for full-time and part-time staff in support of events.  Liaison with University of St. Thomas Public Safety, Risk Management, Physical Plant, Parking, and others to successfully prepare and execute events.

 

Budgeting
Develop and manage event expenses for all varsity events, championships, and special events.  Create and provide expense reports and projections as necessary.  Lead efforts to procure temporary equipment rentals for events, communicate with sponsors leading up to events and vendors. 

 

Logistics Coordination
Lead athletic department efforts related to event logistics.  Prepare appropriate staffing for events as well as supplies, equipment, branding, and necessary materials for successful event execution. 

 

Campus Recreation and Intramurals
Manage space allocation, programming and staff to support campus recreation and intramural activities.

 

Other duties as assigned by the Deputy Athletic Director, Internal Operations

QUALIFICATIONS

Minimum Qualifications

  • Bachelor’s degree required
  • 3 years of relevant collegiate or professional level event management experience required
  • Proven ability to coordinate, manage, and successfully execute athletic events with high attention to detail
  • Proven decision-making ability
  • Demonstrated ability to work with a variety of personalities, backgrounds, and generations.

Preferred Qualifications

  • Master’s degree
  • Event management experience at the Division I collegiate level
  • Ability to perform multiple tasks including maintaining of schedules related to specific sport timelines
  • Ability to think logically and strategically to solve problems effectively

An equivalent combination of education and experience from which comparable knowledge and skills have been acquired.
