Salary Range: $20.94 - $26.00 an hour

 

The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

 

 

JOB SUMMARY

 

This position is responsible for providing comprehensive support in multiple areas for College of Arts and Sciences graduate programs on a carousel model, including current and future carousel programs (Masters in Diversity Leadership, Masters in AI Leadership etc.).  

 

ESSENTIAL FUNCTIONS

  • STUDENT RECORDS/REGISTRATION: Create and maintain all student records. Post semester course schedules to the website. Add new courses, maintain courses, and distribute course schedules to students.  Oversee student registration, manage course waitlists, transfer of credits, grade changes, and course substitutions.  Work with relevant offices to maintain quality assurance of international transcripts and language test score proficiency. Communicate graduation information to students. Serve as liaison between the Registrar’s office and students regarding graduation ceremony. Verify that degree requirements are met.   
  • STUDENT ADVISING/RETENTION: Maintain contact with enrolled students. Advise students on academic requirements. Advise the Director of Graduate Studies and Graduate Committees on student issues. Work in collaboration with the Directors of Graduate Studies on developing programmatic goals and policies. Provide student service information on the Graduate One St Thomas website and keep the website updated when program policies and procedures change.  Promote events and national/local conferences. 
  • EVENT PLANNING: Work with Program Directors on annual event planning, including orientation events, visiting speakers, and other professional development events for students. This includes speaker contracts, promotion of events on Salesforce, OneStThomas, and Tommie Link, room reservations, room layout, catering, student attendance tracking and all other day of activities. Coordinate and host prospective student information sessions, for the purposes of recruitment and admissions, in collaboration with Assistant Director of Graduate Admissions and corresponding Program Directors.
  • MARKETING: Collaborate with Enrollment Management Office to generate marketing content. Oversee and update web pages, including social media pages with relevant information for current and prospective students.
  • ADMISSIONS: Work closely with the Enrollment Management Office in responding to program inquiries and advising prospective students regarding admission procedures and program requirements. Utilizing Salesforce to keep detailed records of communication with prospects and updated comments for graduate admissions staff. Advise the Director of Graduate Studies and Graduate Committees on admission and credit hour projections. Help plan and execute Graduate Committee meetings and new student orientations.   
  • ALUMNI RELATIONS: Provide ongoing communication with alumni regarding job postings, conference opportunities, and invitations to student/alumni events.    
  • BUDGET MONITORING: In collaboration with the Program Directors, monitor the program budgets. Maintain a file of receipts and a record of program expenses. Process purchases and invoices using EBuy&Pay.

QUALIFICATIONS

Minimum Qualifications

  • Equivalent to a high school diploma
  • Four years of administrative experience, preferably in higher education

Preferred Qualifications

  • Bachelor’s degree
  • 3-5 years of office/client service experience
  • Previous work with SalesForce and Banner software
