Salary Range: $45,715-$54,000

 

The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

 

 

JOB SUMMARY

 

Reporting to the Assistant Athletic Director of Athletic Events and Operations, the Associate Director is responsible for the strategic oversight and execution of athletic events and facility operations for the St. Paul campus, including varsity athletics, external rentals, and recreational programs.

 

The Associate Director assists the Assistant Athletic Director in supervising three full-time Assistant Directors of Athletic Events and Operations and plays a leading role in event management for assigned sports, facility scheduling, operational planning, and stakeholder engagement. This position also supports facility maintenance initiatives and collaborates on rental and summer camp programming to optimize facility usage and enhance revenue generation.

 

In support of broader athletic department operations, the Associate Director will assist the Assistant Athletic Director with facility maintenance, standard operating procedures (SOPs), emergency action plans (EAPs), and project coordination. This includes regular collaboration with Physical Plant Services, Public Safety, and other campus support units to ensure the safe and effective operation of athletic facilities.

 

The position also includes event management duties for assigned intercollegiate sports. Responsibilities include creating visiting team guides, coordinating with officials, monitoring event logistics (including Perry Weather), supervising event setup and breakdown, and assisting with programming.

 

 

ESSENTIAL FUNCTIONS

 

  1. Serve as the primary event manager for assigned intercollegiate sports, overseeing all aspects of game day operations—including visiting team coordination, officials’ logistics, credentialing, and emergency response planning. Manage access control and credentialing protocols for athletic personnel and guests. Ensure all events comply with NCAA, conference, and University standards for safety, operations, and fan experience.
  2. Oversee event logistics for assigned varsity sports, including budgeting, visiting team guides, parking coordination, event setup and teardown, weather monitoring via Perry Weather, and post-event debriefs. Serve as the postseason contact for assigned sports, coordinating logistics and support as needed. Collaborate with campus partners to ensure smooth execution.
  3. Lead operational planning and scheduling for athletic events, team practices, and external facility rentals. Coordinate with internal and external stakeholders—including coaches, athletes, support staff, and outside partners—to ensure successful event execution. Collaborate with the Assistant Athletic Director on rental initiatives, including summer camps, to optimize facility use and drive revenue generation. Foster a positive, service-oriented culture across all venues while promoting community engagement through external programming.
  4. Hire, train, schedule, and supervise student employees. Utilize WhenToWork software to manage student event staffing, ensuring appropriate coverage and effective operational support for all events.
  5. Serve as the backup for the day-to-day operations of the Anderson Athletic and Recreation Complex (AARC) and other assigned athletic facilities. Assist in overseeing facility scheduling using the University’s 25Live Pro software, coordinating maintenance, and managing access control through CS Gold (card readers and key distribution). Ensure the effective operation of all facility spaces. Support the management of facility membership and locker rental programs, including maintaining accurate records and providing customer service. Submit and manage Requests for Services (RFS) in collaboration with campus support units such as the Physical Plant.
  6. Assist the Assistant Athletic Director of Athletic Events and Operations in supporting three full-time Assistant Directors of Athletic Events and Operations. Serve as Manager on Duty in the absence of the Assistant Athletic Director. Assist with facility maintenance projects and the development of Emergency Action Plans (EAPs) and Standard Operating Procedures (SOPs).

QUALIFICATIONS

Minimum Qualifications

  • Bachelor’s degree
  • Three years of relevant experience in collegiate athletics or a related athletic operations organization

An equivalent combination of education and experience from which comparable knowledge and skills have been acquired may be substituted.

 

Preferred Qualifications

  • Master’s degree in Sports Administration or a related field
