Salary Range: $19.45 to $24.25/hr

JOB SUMMARY
Responsible for providing complex administrative support and assistance to 8-10 full-time and 10-15 adjunct faculty, including 5 faculty and 6-10 adjuncts in the Lawyering Skills Department, as well as providing excellent customer service as the first point of contact for the Lawyering Skills Department, and providing administrative support for the Intellectual Property & Commutations Clinic Competition Teams. Responsible for all the necessary day-to-day operations involving the essential functions listed below.
ESSENTIAL FUNCTIONS
Provide complex classroom and administrative support to 9-12 full-time law school faculty and 15-30 adjunct faculty per semester
- Manage and maintain appropriate and confidential department data, files, and records.
- facilitate faculty requests including scheduling rooms and appointments, preparing digital and hard copy classroom materials, coordinating with intercampus services such as Parking Services, Food Service, Purchasing & Payables.
- Act as resource for the learning management system (Canvas) and assist with general technology requests, coordinate with ITS and Scholars tech support as needed.
- Assist in obtaining copyright and coordinate distribution of digital and hard-copy course packets and other materials, as needed.
- Compose, produce, copy, and scan documents.
- Other classroom and administrative support duties and projects, as needed.
- Assist with submission of scholarship articles mostly via Scholastica for faculty.
Coordinate and provide further specialized administrative support for the Lawyering Skills Department
- Manage 3rd floor Lawyering Skills Suite by providing excellent customer service as the first point of contact for students, faculty, staff, and other visitors to the suite; ensure that materials and office supplies for faculty and staff are always readily available; order office supplies through appropriate vendors; strategize and collaborate with faculty to improve student experience and departmental procedures.
- Collecting and retaining student pseudonyms for each assignment to maintain student anonymity in grading, building digital assignments in Canvas, managing assignment submission and return processes.
- Assist 5-8 Lawyering Skills III adjuncts each semester with all classroom and technology related requests, including onboarding 1-2 new adjuncts each year; draft and send all LSIII-related correspondence, including Adjunct Welcome Letter, sample syllabus and other resources, and course documents that require editing and redacting; Coordinate guest parking and room reservations for final presentations (Oral Arguments).
- Coordinate hiring and room scheduling for 6 student writing fellows each semester; serve as proxy for approving timesheets as needed.
- Other duties and projects as needed.
Provide administrative support for student travel and guest lodging needs.
- Manage and coordinate U.S. travel arrangements for Intellectual Property Competition Team.
- Manage and coordinate U.S. travel arrangements for Federal Commutations Clinic; 7-10 students conducting client visits at federal and state prison sites.
- Assist with booking registration and travel for one ABA student representative to attend the annual ABA conference each year.
- Coordinate event registrations for the above groups; advise students on correct St. Thomas travel procedures and reimbursement policies; coordinate vendor paperwork required to reimburse non-student coaches and advisors who may travel with the student/s; assist students in completing and submitting reimbursement requests; submit vendor forms and payment requests for coaching stipends; other administrative duties and projects as needed.
Assist the Law Registrar during midterm and final examinations each semester.
- Collect test data and questions from faculty prior to each exam period.
- Build exams using Canvas and/or Exam Soft or similar applications as needed.
- Proctor exams as needed.
- Process multiple choice exams and return multiple choice and essay exams as needed, to ensure student anonymity. Work with faculty and staff on collecting and disseminating data about multiple choice exams.
- Maintain a working knowledge of current exam software.
Assist with other miscellaneous administrative tasks, as needed.
- Coordinate printing and installation of office signage building-wide; procure signage supplies as needed.
- Assist with training new staff in law school administrative procedures as needed.
- Act as liaison between law school and campus bookstore to ensure textbook orders are tracked and submitted in a timely manner prior to each upcoming semester.
- Serve on Law School committees as assigned by supervisor.
