Salary Range: $59,000 to $86,570

 

The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

 

JOB SUMMARY

This position provides budget management and administrative coordination in support of the purchases and operational functions of the Facilities Management Department.

 

Responsibilities include administration of the Facilities Management Department budgets (i.e., Trade Shops, Administrative Departments, Environmental, Building Service Workers, Contracted Services, Elevators, Waste & Recycling, Deferred Maintenance & Plant Projects, etc.), coordinates financial and procurement processes related to these budgets (including material purchases, monthly maintenance contracts, coordinates paperwork from internal and external sources, evaluating invoices for payment and making modifications to budgets as needed),  facilitates the financial aspect of the Facilities Management Work Order System for monthly billing.

 

ESSENTIAL FUNCTIONS

  • Administers purchasing, accounts payable and budget functions for the Facilities Management Departments which includes:
    • Research, troubleshoot and problem resolution related to the acquisition of goods, services and invoices.
    • Monitoring and approve invoices for payment.
    • Maintain budget records and provide budget-related management reports.
    • Create, process and approve requisitions for the departments within established guidelines.
    • Transfer funds as appropriate.
    • Ad hoc reports as needed by the VP and Directors of Facilities
    • In conjunction with the VP and Directors of Facilities development the annual operational budget and quarterly projections for Facilities.
    • Track costs and provide management reports for all assigned deferred maintenance and construction projects for the university.
  • TC+ Payroll system for hourly FM employees
    • Monitor/Final review of timesheets for approximately 100 regular employees
    • Enter/Edit timecards for Facilities Maintenance Team
    • Answer payroll questions in connection with the Union Contracts and the University’s employee handbook.
  • Facilities Management Work Order System:
    • Make corrections/updates to the work order system
    • Prepare all month end journal entries to allocate campus expenses
    • Make any corrective journal entries as needed.
  • Administrative Functions
    • Front Office resource and back-up coverage
    • Coordinating with Xcel Energy on the Commercial Efficiency Rebate Program
    • Track monthly utility spending and consumption
    • Yearly benchmarking of Minneapolis & St Paul Campus utilities for City Ordinance
    • Yearly APPA Survey for benchmarking
  • Other duties as assigned.

QUALIFICATIONS

Minimum Qualifications

  • A BA degree in accounting, finance, or a similar degree program
  • Five years of accounting or finance experience

Preferred Qualifications

  • Experience in Higher Education preferred

An equivalent combination of education and experience from which comparable knowledge and skills have been acquired may be substituted.
