JOB SUMMARY

The senior accountant is part of the Controller’s Office team and plays a pivotal role in ensuring the effective management and compliance of the university’s internal controls and financial reporting. The senior account manages and supports budgets for the Academic Affairs Division, conducts internal audits and audit reconciliations, and assists with the preparation of institutional surveys.

 

This position is eligible for hybrid work. The department typically works 2 days per week in the office and 3 days remote. Remote work must be conducted in the State of Minnesota.

 

 

ESSENTIAL FUNCTIONS

Academic Affairs Operating Budgets

  • Manage operating and program budgets for Faculty Affairs, and support operating and program budgets for other units in Academic Affairs including Accreditation, Assessment and Curriculum; Office of Sustainability Initiatives; Undergraduate Student Achievement; Faculty Advancement and Research; Selim Center; and University Libraries
  • Review and process financial transactions in accordance with St. Thomas polices and procedures
  • Develop and maintain records for financial activities
  • Prepare annual budget submissions in collaboration with Academic Affairs leadership
  • Monitor and reconcile expenditure reports
  • Identify and correct account discrepancies. Adjust budgets as necessary. Produce routine (monthly) and ad-hoc reports on request from Banner and Cognos to provide advanced reconciliation and access to information critical for decision-making and internal controls

 

 

Internal Audit

  • Plan and execute internal audit engagements to assess the adequacy and effectiveness of internal controls and compliance with both organizational policies and procedures and external compliance requirements
  • Collaborate with cross-functional teams to review financial transactions, processes, and documentation to identify control weaknesses and operational inefficiencies
  • Prepare internal audit report summaries. Report to appropriate personnel the results of examinations, the opinions derived, recommendations for reported findings, and actions planned or taken
  • Examine divisional and departmental operations at appropriate intervals to determine that internal controls at the University are adequate and effective
  • Ensure that established policies and procedures at the University are being followed in a consistent manner

 

 

Institutional Surveys:

  • Assist with the preparation of annual surveys requested by various outside organizations including IPEDS, NACUBO, EADA, HLC, US Census Bureau, US News, Dept of Education, National Science Foundation and others

 
 

Audit Preparation and Financial Accounting:

  • Assist and prepare audit reconciliations and schedules needed for selected areas of the university’s annual financial statements
    • Prepaid Financial Aid
    • Prepaid Expenses
    • Deferred Revenue
    • Inventory
    • Health and other benefits incurred but not reported
    • University functional expense allocation(s)
    • Other areas as assigned
  • Work with campus community to ensure proper accounting protocol is followed
  • Various other special projects as assigned

 

 

Miscellaneous:

  • Answer departmental questions regarding accounting matters, account codes, reports, charges, etc.
  • Perform special projects as assigned by staff in the Controller’s office
  • Responsible for reviewing and approving departmental journal vouchers and vendors on a rotating basis
  • Provide recommendations for opportunities to gain efficiencies and reduce redundancies

 

 

 

 

 

 

QUALIFICATIONS

Minimum Qualifications

  • Bachelor’s degree in accounting, finance, or a related field
  • Three years of professional level accounting experience

Preferred Qualifications

  • Professional accounting experience
  • A desire to work in the nonprofit industry

Any equivalent combination of education and experience from which comparable knowledge and skills have been acquired may be substituted.
