JOB SUMMARY

The Operations and Project Manager will lead the development and implementation of work-flow processes as a key member of the Advancement Communications, Events and Donor Relations (ACER) team within University Advancement. This role will manage and prioritize a large volume of complex traditional, digital, web and event projects simultaneously. The Manager will own the critical project path from timeline development through final delivery. This person plays an important role in managing communications, marketing, donor stewardship and event projects by ensuring the efficient flow of resources and deliverables and by driving on-time completion.

 

 

ESSENTIAL FUNCTIONS

  1. Work-Flow Systems
    • Leads the development of a work-flow system by identifying and leveraging project management tools, such as Lytho, and collaborating with internal team members

    • Trains ACER team members on systems and processes
  2. Project Management and Operations
    • Works across the team to develop and prioritize timetables, identify project milestones and manage delivery of work
    • Develop schedules for project completion that define the scope of work, sequence the activities needed and effectively allocate resources
    • Oversees process documentation
    • Leads team project management meetings
    • Maintains reports to track workflows and ensure projects are organized and remain on task by hitting critical milestones
    • Reviews and updates work and project schedules
    • Reports any issues affecting job quality, timelines or costs
  3. Vendor Relations
    • Serves as point of contact for outside marketing/communications agencies, freelancers and contractors

    • Obtains estimates of outside vendor costs for marketing, communications and donor relations projects

    • Obtains project specifications, deadlines and extensions, as needed

    • Works to ensure that project deliverables are on time, within budget and at the required level of quality

  4. Skills and System Maintenance
    • Maintains expertise and training on current project management tool and work-flow best practices

 

QUALIFICATIONS

Minimum Qualifications

  • Bachelor’s degree in marketing, communications, project management or a related field

OR 

  • A professional certificate in project management
  • Three years of experience as a project manager leading projects from conception to final delivery

An equivalent combination of education and experience from which comparable knowledge and skills have been acquired may be substituted.

 

Preferred Qualifications

  • Previous experience in creative and/or event production
