JOB SUMMARY

The administrative manager to the Dean’s Office is responsible for supporting the mission of the University by organizing shared administrative services for the college of health, prioritizing, and managing projects and resources that impact the overall performance of the college. The administrative manager helps the Dean’s office to ensure smooth and efficient administrative support operations. This Administrative Manager also plays a confidential and special role in assisting the Dean and Associate Dean on high priority matters affecting the entire college.

 

The administrative manager is also responsible for initiating, organizing, managing, and ensuring that special projects and initiatives and deadlines are met, College of Health information is up-to-date and disseminated properly, expenses and purchases are conducted appropriately for the Dean’s office, and that administrative systems are in place for centralization of essential processes and information.

 

ESSENTIAL FUNCTIONS

1.     Manages administration and support to academic units to establish workflows and controls for key administrative support functions, directly supervising administrative assistants and coordinators for the School of Nursing and the School of Social Work. For example, convenes and facilitates key meetings across the college for problem solving and improving administrative inefficiencies. Hiring, training, and orientation new administrative professionals.  

 

2.     Sets up, assigns, and delegates work to other administrative professionals in the college for directories, records, and certain confidential and essential compliance documents. For example, accountable for prioritizing and structuring work to maintain college’s key documents for academic activities, and ensuring that changes in protocol, process, and procedures are consistent across the college.

 

Prioritizes time, resources, and administrative support for the Dean and Associate Dean, taking on direct project management about on-going operations and also special projects. Makes independent and discretionary decisions about creating, handling, and ensuring essential and confidential matters are appropriately handled; responsible for content and structure creation for collaboration, e.g. using SharePoint to improve effective work and integration with college priorities; makes decisions about which activities and events the Dean should attend and maintains the Dean’s calendar on high priority matters.   
 

4.     Plans, organizes, and coordinates meetings, certain special events, and provides administrative and logistics support to ensures accuracy of documentation and follow up for matters of strategic importance. Advises and works with Directors in University Advancement, Marketing, and Recruitment to ensure strategic alignment with such activities.

 

 

5.     Serves as a spokesperson and representative of the Dean, ensuring that key external and internal stakeholders have strong, positive, and productive relationships with the Office of the Dean, e.g. trustees, advisory board members, the leadership team.

QUALIFICATIONS

Minimum Qualifications

  • Bachelor’s degree in a relevant field or equivalent education and experience
  • Three years of administrative programs support to executive staff

Preferred Qualifications

  • Master’s degree in a relevant field
  • Project management and technology experience
