    JOB SUMMARY

    The purpose of this position is to assist in managing the School’s operational processes and procedures, assist in planning and coordinating administrative activities, troubleshoot questions and issues from administrators, faculty and students, track, report and assist in planning GSPP budgets and expenditures, help manage registration and graduation of GSPP students, participate in the School’s marketing and promotion processes, assist faculty and adjuncts, and help manage the School’s website.

     

    This position is anticipated to begin on January 2, 2019 and end on April 19, 2019, dependent on business needs. 

     

    ESSENTIAL FUNCTIONS

    GSPP Management

    • Implement and help manage program operational processes and procedures for:
      • Admissions/Degree Audits/ Graduation
      • Database collection, entry and analysis
      • Program Orientations
      • Information Sessions/Prospective students
      • Adjunct faculty
      • School’s academic scheduling
      • Managing the School’s website
    • Provide administrative and communication support for the School’s administration, faculty, adjuncts, students and alumni
    • Point of contact and communication coordinator for conferences, workshops, and special events

    GSPP Budget, Policies and Procedures

    • Assist the School Chair in managing budgets including:
      • Preparing monthly program budget reports, journal and budget transfers and faculty expense reports
      • Managing external payments
      • Managing and tracking expenditures for faculty/staff professional development funds and various school events

    Support GSPP School Chair, Director of Training, Director of MA & Certificate Programs

    • Assist in planning and coordinating administrative activities and program materials
    • Work with Program Coordinator in organizing GSPP events
    • Prepare classroom scheduling assignments

    Registration and Graduation

    • Direct all registration, graduation and commencement activity for the GSPP, in collaboration with the Program Coordinator, ensure degree requirements are posted and cleared in a timely manner, and work with UST commencement coordinators on graduation program and logistics

    QUALIFICATIONS

    Minimum Qualifications

    • High school diploma or the equivalent
    • Three years of administrative experience

    Preferred Qualifications

    • Bachelor's degree
    • Experience in Higher Education
    • Knowledge of principles and practices of budget development and administration 
    • Knowledge of the following systems/tools/technologies: Banner, Optix, Qualtrics, Sharepoint, Salesforce, Canvas, Cognos, Anaplan, T-4.
