    The University of St. Thomas invites qualified candidates to apply for a Temporary Part-Time Administrative Coordinator within the School of Social Work.

    This position is anticipated to work up to 20 hours per week during business hours, dependent on business needs. There will also be several Wednesday evenings when this person is asked to assist with synchronous classes. It has a preferred start date in December.



    The School of Social Work Administrative Coordinator supports the operation of the online Doctoral Program in Social Work (DSW). This includes administrative, faculty and student support for this online program and all courses taught as part of the online program(s).


    The nature of this position is to plan, manage and coordinate the activities of the DSW program in the absence of the DSW Program Manager being on maternity leave. This position involves tracking the admissions process, developing and implementing student services support, assisting DSW faculty in maintenance of course sites, coordinating web conferencing access and managing synchronous meetings for instructors, and as needed collaborating with other internal departments (Information Technology Services, Libraries, Graduate Admissions, Financial Aid, Business Office, and Registrar). The position is the central point for all student and faculty inquiries and requests on the above areas. It involves advising with students through phone calls, e-mails and written correspondence. The position must also work in conjunction with social work faculty, other University departments/schools, the St. Catherine University, and outside professional organizations. Must be able to work independently and as a team member, develop and manage programmatic goals, and deliver exceptional customer service. Supports Dean, DSW Program Director and DSW faculty.



      • Act as liaison to the ITS department, resolving technical issues and meeting technical needs of the program
      • Work with faculty and students on features and functionality of current learning management system and assisting faculty to resolve issues with course sites
      • Coordinate web conferencing access, and building and managing synchronous meetings with faculty
      • Troubleshooting issues for both faculty, administrative teams and students
      • Assist DSW faculty and program director in course maintenance and quality assurance phase for spring I term
      • Work with STELAR center as needed for course design issues
      • Field post­ admission questions and concerns from incoming and/or prospective students
      • Manage admissions process via SalesForce/EnrollmentRx
      • Work with Graduate Admissions to prepare applications for DSW Admissions Committee review
      • Maintain all records on prospective students to the DSW SharePoint system
      • Clearinghouse for all questions on student services
      • Advise and counsel current students on program changes, refund appeals, transfer of credit, graduation concerns and leave of absences
      • Communicate with students, faculty/advisors, DSW Program Director and Dean on academic progress and grade entry if needed
      • Advocate for students' needs with DSW faculty and University departments 
      • Serve as main DSW internal and external contact for St. Catherine University, Business Office, Financial Aid, Registrar, University Relations, Libraries, and outside institutions.


    Minimum Qualifications

    • High School diploma or the equivalent
    • Three years of administrative experience

    Preferred Qualifications

    • Previous experience in Higher Education
