    JOB SUMMARY

    This position serves university students, faculty, and staff by providing administrative support for the Associate Directors of the Office of Study Abroad (OSA), and additional support for OSA staff and activities. The position reports directly to the Senior International Officer, but on a daily basis responds to the needs of the Associate Directors. S/he maintains highest level of confidentiality and diplomatic professionalism; interacts on a regular basis with University administrators, staff, faculty, students, local partners and international visitors and possesses high level of computer technology skills to support web-based projects. S/he manages MHC212’s reception and suite, and hires, trains and supervises student employees. The position also coordinates all event planning, website edits, print and promotional materials, social media and digital outreach, and provides administrative support for OSA program management operations.

     

    ESSENTIAL FUNCTIONS

    • Provide administrative support to Associate Directors and OSA staff, (including but not limited to setting up meetings, managing appointments, taking minutes, and other projects as assigned). Assist with preparation, processing and reconciling financial transactions including reimbursements, purchase orders, check requests, deposits, wire transfers, and memberships.
    • Manage the MHC212 reception, and oversee student employees who typically provide the initial point of contact for phone callers, visitors, and walk-in clients (prospective students, students, administrators, faculty, staff, parents, external partners).
    • Hire, train and supervise OSA student employees for the reception area, liaising with staff to provide consistent direction and work flow.
    • Serve as office manager, maintaining all public areas, resource library, kitchen, and conference room. Monitor and stock program information and office supplies. Serve as the liaison to Physical Plant and Service Center. Coordinate all record keeping, including annual archiving, general files and shared server files.
    • Coordinate and plan with appropriate staff all OSA events and related communication (examples include Global Dinner Discussions, Study Abroad Fairs, J-term Open House, O & R, pre-departure orientations, program-specific information sessions).
    • At the direction of the respective Associate Directors and in collaboration with MIC, produce OSA print and promotional materials, social media and digital outreach including OSA websites, brochures, digital advertising, first-year student and parent communication, Newsroom submissions.  
    • Provide administrative support to OSA program management operations, including scheduling program director meetings, training/development sessions, group airfare as requested, and pre-departure sessions.

    QUALIFICATIONS

    Minimum Qualifications

    • High school education or equivalent
    • Three years of administrative support experience

    Preferred Qualifications

    • Bachelor's Degree
    • Experience in higher education or study abroad
    • Knowledge of StudioAbroad, Banner, Microsoft Office
