    This position manages the daily operations of the department, including general and budgetary support for the Department Chair, coordination and support for full time faculty; liaison and support for adjunct faculty; liaison for students within the Teacher Education Department; project management; department marketing and recruitment; and problem solving. Participates in departmental strategic planning and goal setting. Develops and implements processes and procedures, and schedules. Serves as the main point of representation for several groups to include prospective students, current students, alumni and faculty. Requires an overall broad understanding of the department within a larger system, the student demographic/market, departmental historical data and use of independent judgment and initiative. The position also provides customer service, information and assistance to students, faculty, staff, and the broader community. Serve as main departmental contact and liaison within the School of Education and broader UST community.



    • Daily Activities
      • Planning and management of daily departmental operations.  Requires interpretation and implementation of existing department policies/procedures, and implementation of policies/procedures and marketing plan. 
      • Manage all processes required for the running of the department.
    • Faculty Support
      • Provide support for Department Chair, full-time faculty, and adjunct faculty. 
      • Primary support to department chair, assist with course scheduling, budget, course catalog, faculty load and onboarding of adjuncts.
      • Meet with new faculty and adjuncts to give them information on programs, logistics, and tour of the facilities. 
      • Provide general administrative support to faculty.
    • Department Budget and Records
      • Management of department budget, coordinate and process ordering, reimbursements, preparing paperwork for adjuncts and independent contractors, and tracking all expenditures and preparing current program financial reports.
    • Student Assistants
      • Hiring, supervising and providing work direction to student assistants.
    • Student Recruitment and Support
      • Managing department recruitment processes, including development of recruitment strategies that support department goals.
      • Provide assistance and information to current students and prospective students via e-mail, phone; coordinate information packets.
      • Implementing, coordinating and participating in recruitment events, representing department at local conferences for the purpose of recruitment.
      • Assist in responding to prospective students, outreach activities, and attend information fairs and department events.
    • Student Record Management
      • Serve as support to assist students with registration issues, and use Banner as a tool to answer student, faculty, and staff questions. 
      • Assist in ensuring program and advising information is housed in required systems (Optix, Tk20, and other student portals).
    • General Record Keeping
      • Track and retain syllabi, coordinate IDEA course evaluation process, take minutes as requested.
      • Make minor updates to the website as requested.
    • Provide logistical arrangements for all meetings, department, advisory, adjunct faculty, orientations and special projects.



    Minimum Qualifications

    • High school education or the equivalent
    • Three years of clerical/administrative support experience
