    The University of St. Thomas invites qualified candidates to apply for an Administrative Assistant II (0.6 FTE) position within the Law School Office of Career & Professional Development.

    The Student Services Suite houses the Office of Career and Professional Development (CPD), the Admissions Department, the Office of Global Outreach, the Law School Registrar, and Academic Success. The Administrative Assistant provides administrative support to each of the departments within the suite, greets any visitor traffic to the suite, answers telephone calls, and provides general support to the departments as needed to meet the departments’ goals and objectives.



    • Record Keeping and Data Management – deliver support to all the offices of the student services suite with strong attention to detail, accuracy and efficiency; each department in the suite relies on data driven decisions and information, and therefore, attention to detail, accuracy and efficiency are paramount.  Examples include:
      • entering data into database systems (i.e. Symplicity)
      • tracking communication with students and alumni
      • entering data and tracking externship applications and managing the process
      • assist with job postings and communicating with employers
      • scheduling appointments and managing calendars
      • providing administrative support to the JD Compass Program (employment)
      • drafting correspondence
      • providing support with event attendance and registration
      • preparing documents for mail service
      • supporting event activities
      • other miscellaneous administrative tasks as needed
    • Employ exceptional client relationship skills.
    • Manage front desk – with a focus on strong client relationships, serve as the initial point person for students, alumni, prospective students and families, employers, international students, and other visitors coming to the student services suite.  Coordinate the appointments, assist with questions, answer the phone, and utilize problem solving skills to meet the needs of clients and visitors. 
    • Organization and upkeep – provide support to the student services suite by assisting with general organization and cleanliness of the office suite so that it is presentable to guests and visitors.


    Minimum Qualifications

    • High school education or the equivalent
    • Two years of administrative/clerical support
    • Proficiency in the use of specified computer applications such as Microsoft Office (Word, Excel, PowerPoint, Outlook
    • Ability to learn database systems such as Symplicity and Canvas

    Preferred Qualifications

    • Administrative/Clerical support experience in higher education
    • Associate’s degree
