    The University of St. Thomas is creating a new role for a Chief of Staff/Strategic Advisor and Liaison to the President (“Chief of Staff”) and invites qualified candidates to apply.

    The objective for this role is enable the President and University leadership to focus their time and energy on the highest value priorities for the University.  A member of the Senior Staff and President’s Cabinet, this person will serve as a trusted advisor to the President, as a representative and resource for internal and external constituencies, and as a communications resource for the President.  S/he will also lead special projects; facilitate the organization of leadership meetings, including strategic planning; support Trustee engagement; and enable the President’s Donor and Alumni engagement efforts. 


    This is a special role and opportunity for someone who is drawn to the University’s mission and Catholic identity, is adept at forming strong relationships across a variety of constituencies and has a track record of achievement through influence, teamwork and collaboration.  S/he will view her/his role as “more Staff than Chief,” demonstrate the highest degree of integrity, discretion and sound judgment, and elicit trust from all constituencies.



    1.  Strategic Advisor to the President

    • Serve as a trusted advisor to the President. 
    • Proactively identify opportunities and obstacles that could affect the successful execution of the President’s commitments including elevating issues about which the President should be aware and framing ideas to pursue opportunities, resolve problems, and/or mitigate risk. 
    • Provide strategic counsel on the President’s time and workload in order to leverage his/her effectiveness, productivity, and efficiency. 
    • Relieve the President of administrative detail and coordinate communication. 

    2.  Liaison to the President

    • Resource to internal and external constituencies requesting support and assistance from and/or communication with the President. 
    • Resolves and/or mediates concerns of constituencies, when appropriate, as well as assists constituencies in gaining access to the most appropriate senior leader for response. 
    • At times and when appropriate, will represent the President at external and internal events and meetings and on various committees and task forces. 
    • Works closely with the President, public relations, and other senior leaders in response to critical incidents, crisis management, and related communications.

    3.  Internal Presidential Communications and Event Planning

    • Provide counsel to the President on and execute the implementation of an internal presidential communications plan to ensure frequent and clear, ongoing communication to faculty, staff, and students and to support and strengthen a St. Thomas culture reflective of our convictions and noted for transparency, inclusiveness, empathy, and innovation. 
    • This includes planning and oversight of all forms of presidential communication with the St. Thomas community, including written, video, social media, open forums, and open office hours. 
    • Works with President’s office staff and University event staff to plan University-wide celebratory and recognition events.

    4.  Leadership Productivity

    • Member of Senior Staff and President’s Cabinet. 
    • Facilitate and participate in strategic planning, communication and decision-making. 
    • Plan agendas, prepare materials for and coordinate Senior Staff and President’s Cabinet meetings and retreats to ensure they are productive, collaborative, and focused on achieving the university’s priorities. 
    • Oversee and manage follow-through on action items arising from meetings.  
    • Facilitate timely communication around important issues. 
    • Participate with the President and other senior officers in institutional planning and priority setting, policy development, and problem resolution.

    5.  Board of Trustees

    • Ensure trustee experience is of the highest level of quality in all aspects of Board engagement.
    • Collaborate with Senior Staff to ensure trustee’s time with management is used most productively. 
    • Facilitate board meeting, board retreat, and executive committee agenda planning, associated logistics, and execution. 
    • Ensure President’s timely and relevant communication with trustees. 
    • In collaboration with Public Relations, prepare periodic reports and updates for trustees.
    • Oversee and assist with planning and execution of trustee events outside of Board meetings, such as President’s entertainment of and travel with trustees.
    • In collaboration with the Vice President of University Development and Alumni Relations (UDAR), assist with the President’s cultivation of prospective new trustees. 

    6.  Donor and Alumni Engagement

    • In coordination with the Vice President of UDAR, assist in coordinating the President’s fundraising and alumni engagement efforts. 
    • Work with UDAR on annual planning to set the President’s calendar and prepare for recurring donor and alumni events. 
    • Participate in regular meetings with the Vice President of UDAR to review and strategize upcoming prospect meetings and fundraising events, as well as monitor follow-up items. 
    • Prioritize scheduling, assist with meeting preparation, monitor follow-up of subsequent meetings, correspondence, etc. 
    • Review and edit correspondence regarding donor prospects as needed. 

    7.  Oversight of Office of President

    • Provide supervision and oversight of the Special Assistant to the President, Title IX coordinator, and other direct reports of the President as assigned. 
    • Plan and monitor budget for the Office of the President.   
    • Work closely with the President to ensure any transitions in the President’s staff and leadership team are managed smoothly. 
    • Organize and assist with searches and integration of new team members as assigned.

    8.  Project Leader

    • Organize, oversee, and at times lead special projects involving multiple constituencies throughout the University on behalf of the President and in collaboration with other members of the President’s Senior Staff as needed.


    Minimum Qualifications

    • Bachelor’s degree
    • Minimum of ten years of relevant work experience, with preference for advanced degree and a minimum of seven years of relevant work experience. 

    Required Knowledge, Skills, and Abilities

    • Strong understanding of University of St. Thomas’ educational mission and Catholic identity and a commitment to further its vision, mission, and convictions
    • Excellent verbal, written, presentation, and interpersonal communication skills
    • Ability to relate effectively to and establish credibility with broad and diverse constituencies, including faculty, staff, students, and trustees, as well as alumni and community representatives
    • Demonstrated skills to collaborate with and achieve actionable results in partnership with others and to build strong and sustainable relationships and teams
    • Ability to lead by influence
    • Ability to exercise utmost integrity, trustworthiness, and discretion
    • Ability to handle difficult and confidential matters with good judgment, empathy, and diplomacy
    • Acumen to handle multiple responsibilities simultaneously and appropriately balance long-term and short-term priorities and needs
    • Ability to remain calm under pressure with a developed sense of humor and humility
    • Strong organizational, management, and problem-solving skills
    • Knowledge and experience using technology to enhance communications, presentations, analyses, and operational efficiencies.
