The Coordinator for graduate business admissions assists with qualifying prospective students for our graduate business degrees and certificates. As the first point of contact for inquiring students, this position builds relationships with potential students to assist in increasing enrollment in St. Thomas graduate business programs. This is a unique opportunity to play a critical role in developing the sales pipeline needed to achieve our program growth goals. This position will also be responsible for making regular updates to webpages for the graduate business programs, including event pages across programs, and regular revisions with updated or new content.


A successful candidate will be self-motivated, goal-oriented, with strong organizational and interpersonal skills. This is a sales-like admissions approach, working with specific graduate business degrees with enrollment and revenue goals assigned.



  • Daily responsibilities include communication with a large number of prospective students through phone outreach, personal e-mails and notes
  • Working closely with the assistant and associate directors on the team, will work within Salesforce to manage new leads through outgoing and incoming calls, in addition to emails and messages
  • Weekly/regular checking of audit reports to ensure Salesforce data is accurate and up-to-date
  • Daily gathering information about new leads to assist with grading of candidates to the programs
  • Pro-actively contacting candidates to qualify prospects for the graduate business programs
  • Regularly updating program webpages with needed revisions or new content, along with adding event content
  • Logistical support for recruiting events, including room reservations and catering orders
  • Mass email creation and sends through Pardot, our email marketing system


Minimum Qualifications

  • High school diploma or the equivalent
  • Four (4) years of administrative or sales experience, preferably in an academic environment. 

Preferred Qualifications

  • Bachelor’s degree
  • Previous experience with cold calling and admissions systems
  • Knowledge of Graduate education programs
  • Experience using CRM software is a plus; Salesforce desirable
